What this notice covers
This notice covers visitors to jakoma.org, people who submit Tally forms, people who pay through Stripe links, consultancy prospects and clients, Home Tech / Independent Living Tech clients and family contacts, toolkit users and Repurly pilot enquiries made through Jakoma.
Personal data we collect
- Contact and enquiry data: name, email, phone, organisation, role, service interest, referral source and form responses.
- AI governance and consulting data: organisation context, AI tools in use, policy maturity, risk concerns, project requirements, documents you choose to share and correspondence.
- Home Tech data: address or area, household technology, broadband/Wi-Fi details, visit preferences, support arrangements, device lists, installation notes and limited information about concerns relevant to the service.
- Payment and client records: quotes, invoices, payment status, Stripe receipt details, support history and complaints.
- Technical data: device, browser, log and usage information needed for site security and, where you consent, analytics.
Special category or sensitive information
Home Tech enquiries may include information that touches on health, care, vulnerability, routines or household circumstances. Please only share what is necessary. Jakoma uses this information only to assess whether we can help, prepare for a visit, design a practical setup and support the agreed service. Jakoma does not provide clinical assessment or care services.
Where data comes from
- directly from you;
- from a family member, colleague or authorised contact making an enquiry;
- from your organisation where you contact Jakoma in a professional capacity;
- from payment, form, hosting, analytics or communication tools used to run the service.
Why we use data and lawful bases
- Responding to enquiries and providing quotes: legitimate interests and steps before entering a contract.
- Delivering services: contract performance.
- Keeping records, invoicing and handling complaints: contract, legal obligations and legitimate interests.
- Website security and essential cookies: legitimate interests and essential operation.
- Analytics cookies: consent.
- Optional updates or marketing: consent where required, or legitimate interests where lawfully permitted for business contacts.
Forms, payments and third-party providers
Jakoma may use Tally for forms, Stripe for payments, website hosting providers, email tools, analytics tools, accounting tools, professional advisers, insurers, and selected device or platform providers needed for an agreed setup. Jakoma does not sell personal data.
Home Tech privacy responsibilities
If a setup involves cameras, microphones, sensors, smart speakers, alerts or monitoring-style features, the client/family remains responsible for lawful and transparent use after handover, including informing relevant people where required and managing device settings, accounts and recipients.
International transfers
Some service providers may process data outside the UK. Where this happens, Jakoma expects appropriate safeguards, such as UK adequacy arrangements or approved contractual protections.
How long we keep data
- General enquiries not taken forward: up to 12 months after last meaningful contact.
- Client project, visit, quote, installation and support records: up to 6 years after the client relationship ends, unless a longer period is needed for legal claims or regulatory reasons.
- Invoices and accounting records: as required by tax and accounting law.
- Analytics data: according to analytics settings and cookie choices.
Your rights
Depending on the circumstances, you may have rights to access, correct, erase, restrict, object to processing, request portability, and withdraw consent. To exercise rights, email support@jakoma.org.
